Late bookings and short turnarounds: managing the planner without losing your margin
Two measured trends are changing the trade: bookings are decided later and later, and rentals are getting shorter. The planner fills up, but at the cost of more turnarounds at the dock and teams sized before the order book is known. The answer comes down to three points: a single planner that is the source of truth, booking possible at any hour with the advance payment collected straight away, and a return in three parallel operations that makes the boat available sooner.
What has changed, in figures

- July–August accounted for 48.1% of departures in 2019; 38.3% in 2025. The season is spreading out, and planners are filling up “often at the cost of aggressive discounts and last-minute bookings, sometimes hard for technical teams and crew rotations to handle” (GlobeSailor, 2025 barometer).
- Rentals of 3 to 4 days are growing; they “undermine profitability” through more complex planner management (same source).
- Some rental companies recorded “up to 30% growth in bookings” over two months, but “customer behaviour is changing, with decisions made much later”: fleet, staff, maintenance and bases are sized before the order book is filled (BoatIndustry, 2026).
- On the safety side, summer 2025 saw 130 more propulsion failures than 2024 in motor pleasure boating (SNOSAN): more turnarounds means more maintenance to fit in between two rentals.
One planner, the single source of truth
A late booking gets lost when it is noted in a notebook, a spreadsheet and a messaging app at the same time. The planner must be unique and carry everything that ties up a boat: options, confirmed bookings, owners’ weeks, workshop downtime. An option not confirmed by the set date should lapse on its own, so that the boat becomes available again without anyone having to think about it.
Book at any hour, collect payment straight away
A customer who decides at 10 pm the night before books wherever booking is possible at 10 pm. A booking widget on your website that shows the real free slots and the price from your rate card, then collects the advance payment by card, turns the late decision into a firm booking. Without an advance payment, the last-minute booking is the one most often cancelled.
The return in three operations, in parallel
Between two short rentals, time at the dock is what costs money. The return splits into three operations that do not wait for one another: the check-out inspection with the customer (photos, inventory, engine hours, signature), washing and fuel. Each has its own team; the last one closes the return, and the boat is available. Anything missing or broken is recharged before closing, not three days later.
Sizing teams before the order book
- A staff directory with positions (reception, dock, washing, fuel, workshop) and availability, to spot at a glance a day when three returns fall at the same time.
- Preventive maintenance plans by engine hours, scheduled in the planner as downtime, so you don’t discover the service on the morning of a departure.
- GPS tracking of boats at sea, to know when the return will really arrive and prepare the dock accordingly.
